Privacy Policy

This policy explains what information Ethan W. Photography ("Photographer," "we," "us") collects when you visit this website or reach out about photography, how that information is used, and the choices you have. It works alongside the Terms & Conditions, which cover image copyright and portfolio use in more detail. This is a small photography business, not a data company; we collect only what we need to answer your inquiry and photograph your day well.

We collect the details you send us through the inquiry form or by email, plus the standard technical information any website receives when a browser loads a page. We use it to respond to you and to run the business. We do not sell your information, we do not run advertising trackers, and the pricing estimator on this site runs entirely in your browser without saving anything on a server of ours. The sections below spell this out.

When you submit the inquiry form on the Contact page, or email us directly, you choose to share details such as your name, email address, phone number, the date and type of your event or session, its location, and any message or context you include. Booked clients may later share additional details needed to plan and deliver the work. The inquiry form is powered by HoneyBook, which collects and processes these details on our behalf and also handles proposals, agreements, and invoicing. Email correspondence is handled through Google Workspace.

This website is a static site hosted on Vercel; it has no database or application server of our own. Like nearly any website, the hosting platform and the content delivery networks that serve the pages, photographs, and fonts may automatically record standard technical information when your browser makes a request, such as your IP address, browser and device type, the page you came from, and the date and time. This information is used to serve the site, keep it secure, and understand general traffic at a technical level. We do not use it to build advertising or marketing profiles, and we do not combine it with your inquiry details to identify you personally.

The estimator on the Pricing page runs entirely in your browser. The shoot type, date, duration, guest count, add-ons, and figures you enter are used on your device to calculate an estimate; because there is no server of ours behind the site, those inputs are not sent to us or saved anywhere unless you go on to submit an inquiry.

To factor in weather and travel distance, the estimator sends the location and date you enter to Open-Meteo, a free weather and geocoding service that requires no account or key, and uses the result to shape the estimate. If you choose "Use current location," your browser first asks your permission, and only if you allow it does it share your approximate coordinates with the estimator to fill in the location for you. Those coordinates are used the same way, to look up the forecast and distance, and are never stored by this website. You can decline or revoke that permission at any time in your browser settings without affecting the rest of the estimator.

Information you provide is used to respond to your inquiry; to prepare quotes, proposals, and agreements; to schedule, perform, and deliver photography services; to send invoices and process payment; to host and deliver your gallery; to provide support; and to keep the records a business is expected to keep. We may use your contact details to follow up on an inquiry or an active booking. We do not sell your information, and we do not use it for third-party advertising. We will only send you marketing messages if you have asked to receive them, and you can opt out at any time.

Running the business and this website depends on a handful of trusted providers. Each processes information under its own privacy policy, and we share only what is necessary for that provider to do its job. We never sell your information to any of them or to anyone else.

We may also disclose information if required by law, to respond to lawful requests, or to protect the rights, safety, and property of the Photographer, clients, or the public.

This website does not run analytics, advertising, or social-media tracking of its own, and it does not set marketing or profiling cookies. The embedded HoneyBook inquiry form, and the services that deliver the fonts and photographs, may set functional cookies or receive the technical request data they need in order to work; these are governed by those providers' own policies. You can block or delete cookies in your browser settings at any time, though the inquiry form may not function fully if you do.

Photographs created during a session or event are the Photographer's work and, as described in the Terms & Conditions, may be used for portfolio and marketing purposes (this website, galleries, social media, and similar media) unless you request otherwise in writing before the shoot. Where you ask for confidentiality in advance, that restriction extends to all images from the event, including those featuring guests. If you are a guest and would prefer not to be photographed or featured, please let the hosting client or the Photographer know, and reasonable requests to remove a specific image from public portfolio use will be honored.

Inquiry and booking records are kept for as long as needed to provide services and to meet legal, tax, and accounting obligations, and may be retained afterward within ordinary business records. Final galleries are hosted on Pic-Time for a limited period after delivery, and clients are responsible for downloading and archiving their images before that window closes. You may ask us to delete personal information we hold about you, subject to any records we are legally required to retain.

Depending on where you live, you may have the right to access, correct, or delete the personal information we hold about you, to receive a copy of it, to opt out of marketing messages, and to ask that your images not be used for portfolio purposes. To make any of these requests, contact us through the inquiry form below; we will respond within a reasonable time and may first need to verify your identity to protect your information. Because we do not sell personal information, there is no sale for you to opt out of.

We use reasonable measures to protect the information entrusted to us, and the providers listed above maintain their own security programs for the data they handle. No method of transmission over the internet or method of storage is completely secure, however, so while we work to safeguard your information we cannot guarantee absolute security.

This website and these services are intended for adults, and we do not knowingly collect personal information from children under 13. Minors are photographed only with the consent of a parent or guardian, ordinarily the booking client. If you believe a child has provided us information without that consent, contact us and we will remove it.

This site links to services operated by others, including the booking form, the gallery host, and Instagram. Once you leave this site or interact with an embedded service, that provider's privacy practices apply rather than ours. We encourage you to review the policies of any third-party service you use.

We may update this Privacy Policy from time to time by posting a revised version with a new "last updated" date at the top of this page. Material changes take effect when posted, and your continued use of the site after that constitutes acceptance of the updated policy.
